How Workflow Quota works?

Automated WhatsApp Quota

Q: What is the Automated WhatsApp quota?
A: Automated WhatsApp quota is a limit set on the number of automatic messages that can be sent from Take App’s WhatsApp account or your own WhatsApp account as part of your workflow or broadcast, or as a reply from the AI chatbot. These messages could include notifications, confirmations, and updates automatically triggered by certain actions within your store.

Q: How many Automated WhatsApp can I send with my plan?
A: The quota varies by plan:

  • Basic Plan: Not included
  • Essential Plan: Not included
  • Business Plan: Up to 1000 messages

Q. If I click on the message button, will it be counted as another quota (e.g. Confirm, Cancel, Edit)?

A: Clicking a button doesn't send another template. The message that follows is a service message, which counts only when Meta charges for it — see the next question.

Q: Do service messages count towards my quota?

A: Since October 1, 2026, Meta charges businesses for WhatsApp service messages: the replies sent inside a chat, such as replies from Inbox, a bot, or the message after a customer taps a button. Each WhatsApp number gets 1,000 free service messages a month from Meta. Take App only counts the ones Meta charges for:

  • Take App's official WhatsApp account: every service message counts. Meta's free allowance is per number, and that number is shared by every store.
  • Your own connected WhatsApp Business account: Meta's 1,000 free messages a month on your number are respected, and only the ones after that count. If Meta bills your own payment method instead of Take App, none of them count. To check who Meta bills, see Troubleshooting WhatsApp Billing Issues.

Analytics > Usage shows WhatsApp templates and WhatsApp service messages separately.

Q: Do AI chatbot replies count towards my quota?

A: Yes. Since October 1, 2026, Meta charges for replies businesses send to customers on WhatsApp, so every reply the AI chatbot sends on WhatsApp is deducted from your Automated WhatsApp quota, the same as workflow and broadcast messages. If your chatbot handles a lot of chats, turn on the WhatsApp add-on so it keeps replying after the quota runs out.

Q: Does this quota affect messages from customers?

No, direct messages received from customers are not affected by this quota. You will continue to receive an unlimited number of messages from your customers.

Q: How can I monitor my Automated WhatsApp usage?

A: You can monitor your usage through the "Settings > Billing" section within your Take App dashboard. This will help you keep track of how many messages you've sent and how many are left within your current billing cycle.

Emails Quota

Q: What is the emails quota?

A: The emails quota is the limit on the number of automated workflow emails you can send to customers and staff. This includes any automated email notifications set up as part of your store’s operations.

Q: How many emails can I send with my plan?

A: The allocated quotas per plan are:

  • Basic Plan: not included
  • Essential Plan: not included
  • Business Plan: Up to 2,500 emails

Q: What happens if I exceed my quota?

A: If you exceed your allocated quota for either WhatsApp messages or emails, you may need to upgrade your plan to increase your quota or wait until the next billing cycle for the quota to reset.

Q: Can I buy additional quota if I need more?

A: If you're on the Business Plan, you can activate Add-ons to go beyond the free quota. Any additional usage will be billed in your next invoice. You can manage this by going to Settings > Billing.
